Job title: PA to CEO (Preferable in Textile Sector) – ONLY FOR HE

Location: Ability to work on site at 3.5km Defense Road Lahore (Only candidates comfortable with this location should apply) Onsite-Lahore

Hours: Full-time, Monday through Saturday, 9:00 AM to 5:00 PM

Job Description:

We are seeking an experienced and highly organized Executive Assistant/PA to support the CEO of Ziyan Textiles. As the CEO’s right hand, you will play a critical role in streamlining executive functions, managing daily operations, and optimizing productivity.

Job Responsibilities and Tasks:

  • Oversee daily office operations, including scheduling, supply management, and vendor relations.

· Schedule meetings and appointments

· Provide top-notch executive support, including managing complex calendars, scheduling meetings, booking travel arrangements, and organizing events.

· Handle correspondence on behalf of the CEO, including drafting emails, reports, and presentations, and maintaining clear and effective communication across all levels of the organization.

· Assist with various projects by tracking deadlines, coordinating cross-functional teams, and ensuring deliverables are met in a timely manner.

· Maintain the highest level of discretion and professionalism while handling sensitive company information and CEO communications.

· support and assist staff development and training, including helping with new staff onboarding

· Manage contract and price negotiations with office vendors, service providers and office lease

· Liaise with facility management vendors, including cleaning, catering and security services

· Organize the office layout and oversee office maintenance, coordinating necessary repairs with external suppliers and contractors

· delegate work to administrative staff and manage their workload and output

· arrange regular testing for electrical equipment and safety devices (either in the office or in the home if staff are working remotely)

  • Provide administrative assistance to leadership and staff, ensuring everyone has what they need to excel.
  • Plan and coordinate team-building activities, employee appreciation events, and community outreach initiatives.

Skills and Qualifications:

· Bachelor's degree in business administration or related field

· Experience in a fast-paced, dynamic work environment

· Excellent problem-solving and critical thinking skills

· Positive attitude and a proactive approach to work

· Minimum of 4-5 years of experience in an office management role

· Proven ability to manage and prioritize multiple tasks

· Excellent written and verbal communication skills

  • Proven experience as an Office Manager, or any PA to CEO
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google Suite
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang
  • Excellent time management skills and ability to multi-task and prioritize work.
