Join our team as a Paralegal/Legal Secretary, where you will play a pivotal role in supporting the daily operations of a fast-paced legal office. This position focuses on managing correspondence, mail, dictation, and legal filings to ensure case documentation and communications are organized, accurate, and processed efficiently. You will contribute directly to matters involving hospitals, patients, and health insurance carriers, assisting with the resolution of medical billing and reimbursement issues. What You’ll Do

_ Mail & Document Management_

  • Sort, scan, and log incoming and outgoing mail, ensuring all items are routed or linked to the correct case in the case management system.
  • Prepare, format, and send outgoing correspondence, ensuring accuracy, consistency, and adherence to formatting standards.
  • Maintain organized digital and physical filing systems for active and closed cases.

_ Dictation & Document Preparation_

  • Transcribe letters, memos, and notes from attorney dictation.
  • Proofread outgoing correspondence for accuracy, proper grammar and completeness prior to mailing.

_ Legal Filing & Administrative Support_

  • Assist with court filings (including e-filing).
  • Assemble, label, and archive case files and exhibits.
  • Maintain tracking logs for filings, mailings, and document submissions in the case management system.
  • Provide clerical support for attorneys and analysts as needed.

_ General Office Support_

  • Answer office telephone calls and transfer to appropriate staff, as needed.
  • Organize received and outgoing mail daily.
  • Assist with scheduling or calendar updates when requested.
  • Perform light data entry or recordkeeping in the case management system.
  • Coordinate other office needs as directed.

Basic Qualifications

  • High school diploma or equivalent
  • 3+ years of administrative or legal office experience
  • Excellent attention to detail and task follow-through
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent writing skills for drafting correspondence and legal documents.

Preferred Qualifications

  • Experience in a law firm or hospital billing setting
  • Familiarity with HIPAA and proper medical record handling
  • Associates degree in Office Administration or similar field
  • Experience in project management within a legal context is advantageous.

Job Type: Part-time

Pay: $21.00 - $28.00 per hour

Expected hours: 20 – 30 per week
