Part-Time Accounting Associate

Accounting Associate – Part-time Position

Location: On-site (Youngstown, Ohio – Boardman, Ohio Office)

In this position, you’ll play a key role in ensuring billing accuracy while also helping set up projects and tasks in our project management workflow system. This will help by keeping the team aligned and projects running efficiently while working closely with the Executive and Director teams.

We are looking for a detail-oriented, reliable individual to support our accounting and financial operations and project coordination operations. This role is ideal for someone who enjoys working with numbers, being task oriented, does well with spreadsheets and staying organized within project management systems.

Key Responsibilities:

Accounting & Financial Support

- Generate and send client invoices monthly based on projects and agreements

- Set up new monthly invoicing as needed (new clients and agreements)

- Create and send new invoices based on completed project tasks

- Set up new clients within QuickBooks Online system

- Monitor accounts receivable and follow-up on outstanding invoices

- Process accounts payable, including vendor bills and expense tracking

- Reconcile bank and credit card statements

- Work with our accounting firm and payroll service when needed

- Maintain accurate financial records in QuickBooks Online

- Assist with monthly close and reporting

- Support payroll preparation and expense tracking as needed

- Help improve and streamline billing and financial workflows

Operations & Project Management

- Set up new client projects and job records in project management software based on scopes of work and contracts

- Create and assign tasks, timelines, and project structures to align with deliverables

- Ensure project details (budgets, timelines, billing milestones) are accurately reflected

- Collaborate with internal teams to keep projects organized and up to date

- Update task statuses and assist with workflow tracking to support timely billing

- Help improve and streamline project setup and workflow processes

Qualifications

- 2+ years’ experience in accounting, bookkeeping or AR/AP roles

- Experience with QuickBooks Online (a must)

- Experience with project management software or similar project management tools (desired)

- Strong attention to detail and organizational skills

- Comfortable working independently and managing priorities

- Proficiency in Microsoft Excel and / or Google Sheets

- Experience in a marketing agency or service-based business is a plus

Compensation & Benefits

- Hourly rate to be negotiated according to experience

- Part-time help would not be eligible for benefits

Pay: From $15.00 per hour
