Duties

  • Manage front desk responsibilities, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
  • Handle data entry and maintain accurate records using Microsoft Office, Google Workspace, and excel office management tasks
  • Support calendar management and scheduling for team members, ensuring appointments and meetings are organized efficiently
  • Assist with clerical duties such as filing, proofreading documents, and organizing office supplies to keep the workspace tidy and functional
  • Provide excellent customer support by responding promptly to inquiries via phone or email, demonstrating strong phone etiquette and customer service skills
  • Perform general office management tasks including organizing files, managing incoming correspondence, and supporting administrative projects as needed
  • Utilize strong organizational skills to prioritize tasks effectively, ensuring timely completion of all responsibilities

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy
  • Excellent communication skills, including phone etiquette; bilingual abilities are a plus
  • Familiarity with multi-line phone systems
  • Strong time management skills with the ability to handle multiple tasks efficiently in a flexible schedule
  • Previous personal assistant or office management experience required.
  • Demonstrated ability to perform data entry accurately and maintain meticulous records
  • Ability to work independently with minimal supervision while contributing positively to team efforts
