Description:
The Office Clerk will report to the Township Manager. They support the Township Administration Staff and helps them stay organized and completes tasks that allow the Township Administration Staff to focus on more advanced responsiblities.
Duties/Responsibilities:
· Receive all residents at the walk-up window promptly. Respond to residents' requests, take payments (issue receipts when necessary).
· Distribute various forms, applications, and permits once issued.
· Answer phone promptly. Retrieve phone messages and respond promptly. Track conversations. Follow-up as needed.
· Issue, document, and renew brush cards.
· Place ads as directed and post news and events as directed in appropriate places
· Assist with mailings
· Track Meeting and pavilion reservations – make sure the meeting room door is unlocked for off-hours events
· Compose letters as directed, mail, file forms, petty cash reconciliation
· Process incoming mail, date stamp received, and distribute to appropriate departments
· Read and analyze incoming e-mails, memos, letters, and reports to determine their significance and distribute accordingly
· Update and/or create electronic and paper data files
· Organize and maintain filing systems, both electronic and physical. Scan and archive documents.
· Assist the Public Works/Sewer Superintendent(s) with mailings, documents and other administrative items as needed.
· All other duties as assigned
Qualificatitions:
· Office Clerk must have excellent skills in communication and collaboration.
· Office Clerk must have patience, good listening skills, and the ability to deal courteously and effectively with the Public daily, as well as other Old Lycoming Township Management and Employees.
· Office Clerk must have good writing and proofreading skills. Their e-mails and documents and social media posts reflect upon their employers, so they need to know how to write professionally, using proper spelling and grammar.
· Office Clerk must have organizational skills to ensure deadlines and appointments are not missed, both their own and the Township Manager’s.
· Multi-tasking and the ability to prioritize & pivot and set aside a task and come back to it when necessary. Ability to problem solve when the answer isn’t obvious must be able to work independently and as part of a team.
· HS diploma or equivalent required. Formal post-HS training or an associate's degree in a related field is preferred, but not required. Minimum of 2 years of related experience.
· Office Clerk must have personal computer skills including typing, experience with Microsoft Word and Excel, as well as office equipment knowledge.
Pay: $15.00 - $16.00 per hour
