Part Time Executive Assistant

Level Engineering & Architecture is a collaborative network of independent engineers and architects delivering structural and engineering expertise to communities across multiple states. As our organization grows, we are seeking an Executive Assistant who can operate as a strategic partner to leadership and provide operational support to the CEO.

The Executive Assistant role helps translate vision into execution, creates structure around fast-moving priorities, and ensures leadership focus remains on strategic growth.

The Work

  • Manage and optimize the CEO’s calendar to align time with priorities
  • Be the core filter and gatekeeper for the CEO’s time
  • Prepare CEO for meetings with briefing materials and supporting follow up action items
  • Antici­­pate decision needs and ensure leadership is prepared with relevant context and documentation
  • Track priorities, commitments, and strategic initiatives to ensure forward momentum
  • Coordinate leadership meetings, retreats, and planning sessions
  • Serve as a liaison between the CEO and internal teams, ensuring clarity and alignment
  • Maintain organized digital records, leadership files, and confidential documentation
  • Support contract routing, compliance documents, and executive approvals
  • Coordinate travel, itineraries, and logistics to maximize efficiency
  • Assist with special projects, research, and operational initiatives
  • Identify opportunities to improve systems, workflows, and executive efficiency

Preferred Qualifications

  • 3+ years supporting senior executives or founders in fast-paced environments
  • Strong proficiency with Google Workspace and digital collaboration tools
  • Exceptional written and verbal communication skills
  • High organizational intelligence and attention to detail
  • Ability to manage multiple priorities with clarity and discretion
  • Experience coordinating travel, executive scheduling, and leadership meetings
  • Experience supporting strategic initiatives or special projects
  • Process improvement and systems-thinking mindset
  • Experience in engineering, construction, professional services, or multi-state operations is a plus

This role will be remote with the occasional meetings in person in Austin, Texas. We predict the needs for this role will require 20-30 hours per week. Pay will range from $26-32 per hour dependent on experience!
