The Downtown Alameda Business Association (DABA) is seeking a dependable, detail-oriented Part-Time Office Assistant to support our Executive Director and team in serving Downtown Alameda businesses, members, and visitors. This role is ideal for someone who enjoys variety, community-focused work, and supporting small businesses in a lively downtown environment.
Schedule
- Part-time, hourly
- Approximately 15–20 hours per week
- Primarily weekdays, with some evenings and weekends required, especially during events
Key Responsibilities
Bookkeeping Support
- Enter approved invoices, debit card purchases, and occasional deposits into QuickBooks
- Organize and file financial and expenditure documents
- Assist with other financial transaction tasks as directed
Event Support
- Verify and track event supply inventory
- Assemble promotional packets and event materials
- Provide on-site support for DABA-produced events
- Assist with major annual events, including the Art & Wine Fair (last Saturday & Sunday of July)
Member Services
- Maintain and verify business member and membership records
- Assist with member communications and outreach
- Distribute flyers and promotional materials to Downtown businesses
- Conduct scheduled Alameda Avenue and district walk-throughs; record conditions and report maintenance or signage needs
General Administrative Support
- Maintain and organize office supplies; recommend reorders as needed
- Attend committee or event meetings, or review notes, to support follow-up tasks
- Provide general administrative support to the Executive Director, Event Coordinators, and Downtown members and other duties as assigned
Qualifications
- Proficiency with Google Workspace (especially Google Sheets and Docs)
- QuickBooks data entry experience
- Basic bookkeeping or accounting knowledge
- Strong English grammar, spelling, and communication skills
- Highly organized, detail-oriented, and able to work independently
Preferred:
- Multi-lingual abilities
- Experience working with small businesses or community organizations
Work Environment
- Combination of office-based and on-street work within the Downtown Alameda district
- Outdoor work and weekend hours during events
Job Type: Part-time
Pay: $21.00 - $24.00 per hour
Expected hours: 15 – 20 per week
