Job Overview
We are seeking a dedicated Part-Time Practice Administrator / Operations & HR Lead to oversee and improve daily operations for the Hernia Center of Southern California, a lean private surgical practice serving a predominantly adult male, industrial/workers’ comp hernia population. This role is essential in building practical systems, strengthening accountability, and ensuring modern HR and compliance practices appropriate for a small, high-efficiency surgical office.

The ideal candidate brings 5–10+ years of experience in private surgical specialty or private surgical practice operations, with the judgment and presence to be a true operational partner to the surgeon-owner and a credible leader for staff.

Schedule & Location

  • Part-time
  • Pasadena-based
  • Typically 9:00 AM – 5:00 PM

Required

  • Bachelor’s degree (business, healthcare administration, public health, or related preferred)
  • 5–10+ years private specialty/surgical practice operations
  • Strong California HR experience (hiring, onboarding, performance management, documentation)
  • HIPAA compliance knowledge
  • Experience building SOPs, training, and accountability systems
  • Comfortable in a lean small-practice environment

Preferred

  • Workers’ comp / industrial injury practice experience
  • CMPE, SHRM-CP/PHR
  • Experience supporting surgical scheduling and peri-op coordination

Responsibilities

  • Manage day-to-day administrative operations of the practice, including scheduling structure, patient flow, and resource coordination
  • Oversee HR functions such as staffing, onboarding, training, role clarity, performance management, and corrective documentation aligned with California employment best practices
  • Maintain compliance with HIPAA and applicable private-practice operational standards
  • Build, refine, and maintain lean SOPs and training checklists for core workflows
  • Support effective coordination of pre-op and post-op administrative processes, including telemedicine/phone workflow support tied to surgical readiness
  • Partner with billing/revenue-cycle resources to reduce operational bottlenecks that delay authorizations, scheduling, or treatment progression (without requiring you to be the primary biller)
  • Supervise and support clinic staff to promote efficient workflow and consistent patient experience
  • Implement practical policies that improve accountability and reduce repeated operational fires
  • Serve as operational triage so the surgeon-owner is not the default resolver for routine administrative issues

Skills

  • Proven experience in medical office management or healthcare administration within a private specialty or private surgical setting
  • 5–10+ years of experience preferred
  • Experience with workers’ comp / industrial injury workflows strongly beneficial
  • Strong knowledge of HR operations in a small practice: hiring, onboarding, training, performance expectations, and documentation
  • Excellent organizational skills with a systems-first mindset
  • Confident team leadership style that improves clarity and execution without adding unnecessary bureaucracy
  • Strong communication skills for effective collaboration with clinical staff and patients
  • Ability to handle multiple priorities efficiently in a fast-paced, high-accountability environment

Pay: $65.00 - $85.00 per hour

Expected hours: 8.0 – 16.0 per week

Work Location: In person
