Responsibilities

- Operate multi-line phone systems efficiently, answering inquiries, transferring calls, and taking detailed messages.
- Manage appointment scheduling and calendar organization using digital tools such as Google Workspace or Microsoft Outlook.
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all correspondence.
- Provide exceptional customer service by addressing questions promptly and supporting clients or guests with their needs.
- Assist with clerical tasks such as typing reports, preparing correspondence, and supporting personal assistant duties as needed.
Experience
- Prior office or administrative experience is preferred, demonstrating familiarity with front desk operations and clerical responsibilities.
- Proven ability to handle multi-line phone systems with professionalism and excellent phone etiquette.
- Bilingual skills are highly desirable to effectively communicate with diverse clients and team members.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic data entry skills.
- Experience with office management software such as QuickBooks is a plus, along with organizational skills that ensure efficient workflow.
- Demonstrated ability to prioritize tasks effectively using time management techniques in a busy environment.
