Part time Receptionist / Administrative Assistant

Job Summary

Responsibilities

  • Greet visitors warmly and professionally, directing them appropriately and managing front desk duties with enthusiasm.
  • Operate multi-line phone systems efficiently, answering inquiries, transferring calls, and taking detailed messages.
  • Manage appointment scheduling and calendar organization using digital tools such as Google Workspace or Microsoft Outlook.
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all correspondence.
  • Provide exceptional customer service by addressing questions promptly and supporting clients or guests with their needs.
  • Assist with clerical tasks such as typing reports, preparing correspondence, and supporting personal assistant duties as needed.

Experience

  • Prior office or administrative experience is preferred, demonstrating familiarity with front desk operations and clerical responsibilities.
  • Proven ability to handle multi-line phone systems with professionalism and excellent phone etiquette.
  • Bilingual skills are highly desirable to effectively communicate with diverse clients and team members.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic data entry skills.
  • Experience with office management software such as QuickBooks is a plus, along with organizational skills that ensure efficient workflow.
  • Demonstrated ability to prioritize tasks effectively using time management techniques in a busy environment.
  • Previous customer service experience that highlights your ability to support clients courteously and professionally.
