The Senior Office Assistant is under the general supervision of the Chief of Police. This position is responsible for a wide variety of clerical and administrative duties requiring the application of independent judgment and knowledge of office practices and procedures. The Senior Office Assistant is in charge of preparing and maintaining records, reports, financial documents, and correspondence in support of municipal operations to support the Town of Shelter Island’s Police Department.
The candidate must have excellent communication and organizational skills. Applicants must excel in preserving detailed records; formulating reports and correspondence; and have the ability to interact with Town personnel, the public, and outside agencies in a professional and accommodating manner. Work quality is reviewed through observation of results, periodic audits of work performed, and consultation with the supervisor regarding unusual problems.
The Senior Office Assistant is required to keep all pertinent information and transactions private and confidential and follow standard procedures prescribed by Town, County, and State laws. Performs additional clerical duties as required.
RESPONSIBILITIES
* Serve as receptionist for Police Headquarters, answering telephone calls and assisting members of the public.
* Provide clerical and administrative support to the Chief of Police and department personnel.
* Maintain department records, files, and electronic document management systems.
* Process Freedom of Information Law (FOIL) requests and other public records requests.
* Prepare departmental reports including monthly and annual statistical reports.
* Prepare and distribute weekly police blotter reports.
* Maintain department payroll records, time records, and training records.
* Track and maintain departmental training records and certification documentation.
* Assist with preparation and maintenance of the Police Department budget.
* Prepare purchase orders, maintain supply inventories, and process vouchers for payment of invoices.
* Reconcile departmental vouchers with Town abstracts.
* Maintain department equipment and property inventory records.
* Maintain records related to warrants, orders of protection, court dispositions, and other legal documents.
* Submit required reports to state and federal agencies including DCJS and other regulatory entities.
* Assist with grant documentation, FEMA reimbursement documentation TBD, and other program reporting.
* Maintain department website and assist with social media updates.
* Scan, file, and electronically maintain police records.
* Coordinate travel arrangements and training registrations for department personnel.
* Assist with property and evidence record management.
* Enter records related to tickets, reports, and police information systems.
* Retrieve and distribute department mail.
* Assist with personnel recordkeeping and hiring documentation.
* Attend meetings and conference calls when assigned.
* Be able to set up video and teleconferencing.
SKILLS
Good knowledge of office terminology, procedures, equipment and clerical techniques; good knowledge of business English, spelling and arithmetic; ability to understand and carry out complex oral and written instructions; ability to organize and maintain accurate records and prepare reports; ability to make minor decisions in accordance with laws, regulations and established procedures; ability to perform arithmetic computations and maintain financial records; ability to operate modern office equipment and computer applications including word processing and spreadsheet software; ability to maintain confidentiality in matters involving law enforcement records and municipal personnel matters; ability to establish and maintain effective working relationships with supervisors, co-workers and the general public.
EDUCATION
Graduation from a standard high school or possession of a high school equivalency diploma and two (2) years of clerical experience; or an equivalent combination of education and experience. Additional education beyond high school may be substituted for experience on a year-for-year basis in accordance with Civil Service rules.
SPECIAL REQUIREMENT
Due to the nature of the position and access to sensitive and confidential law enforcement records, candidates must successfully complete a Police Department background investigation within six months of appointment. Employees may also be required to obtain and maintain certifications necessary for access to law enforcement information systems.
