The US Filing Specialist performs complex and specialized work related to the specific function of providing patent prosecution support for clients to whom assigned. Provides organizational and substantive support for assigned clients. Responsibilities include providing client support for portfolio management, filings with the U.S. Patent and Trademark Office (USPTO), Redbooking deadlines and Docketing. Responsible for monitoring and expediting workflow for assigned clients. Ensures client services and satisfaction are attained in all areas of position.
Primary Responsibilities
- Manage all administrative aspects of U.S. patent prosecution for assigned clients, applying detailed knowledge of USPTO procedures and firm protocols.
- Build and maintain strong client relationships by delivering responsive service, understanding client business needs, and anticipating future requests.
- Maintain Redbook and monitor electronic Daily Dockets; proactively communicate deadlines to practitioners and coordinate with the Docket Department on required actions.
- Prepare, file, and manage accurate and timely USPTO submissions, including Information Disclosure Statements, and ensure compliance with U.S. and applicable international prior-art reporting requirements.
- Process incoming USPTO and prosecution-related correspondence and report relevant information to clients.
- Apply and maintain client-specific guidelines and preferences to support effective portfolio management.
- Respond to routine client inquiries and provide patent portfolio status updates as requested.
- Provide backup support to colleagues and assist with overflow work.
- Independently gather information for routine matters, seek guidance for complex issues, and share knowledge and best practices with the team.
- File and maintain documents and correspondence related to U.S. patent prosecution.
- Assist with client file transfers and disengagement processes.
ABOUT YOU
- Bachelor’s degree and/or prior patent law experience preferred; minimum of two years of progressive patent experience required.
- Ability to manage assignments from inception to completion with general supervision.
- Working knowledge of USPTO procedures, including 37 C.F.R., the MPEP, and USPTO systems (Patent Center, Assignment Center).
- Exceptional attention to detail and proofreading skills, delivering accurate, high-quality work.
- Strong written and verbal communication skills and basic math proficiency.
- Demonstrated client service focus for internal and external clients.
- Effective time management skills with the ability to prioritize and meet competing deadlines.
- Ability to resolve issues constructively and identify when to seek guidance on risk matters.
- Proficiency in MS Outlook, Word, Excel, and PowerPoint; strong technical aptitude and ability to learn new systems quickly.
Flexibility to work overtime as needed; typing speed of 70 wpm preferred
Pay: $85,000.00 - $100,000.00 per year
