As a Patient Care Coordinator (Experience Preferred), you are often the first point of connection for our patients and play a vital role in shaping a welcoming, organized, and reassuring experience from the very first interaction. Key Responsibilities:
- Serve as a welcoming and dependable first point of contact by answering incoming phone calls promptly and professionally
- Respond to new patient inquiries from phone, website forms, and email in a timely and thoughtful manner
- Listen to patient concerns or uncertainties and help guide them through next steps in care
- Guide prospective patients through the scheduling and intake process with clarity, empathy, and confidence
- Accurately register patients in the electronic medical record (EMR), ensuring all demographic, insurance, and intake information is complete prior to the initial evaluation
- Confirm receipt of patient registration forms and proactively resolve any intake or scheduling conflicts
- Schedule patient appointments based on availability, preferences, and clinic utilization needs
- Track patient leads and referrals and maintain proactive communication to support every patient’s needs
- Conduct appointment reminder and rescheduling calls to support patient attendance and continuity of care
- Maintain clear, compassionate communication with patients, clinicians, and administrative team members
- Assist with documentation management, scanning, and front office organization
- Support a positive clinic environment by contributing to team communication, shared goals, and company values
- Provide coverage for other Patient Care Coordinators as needed
Preferred Qualifications & Skills
- 2 years of experience in a healthcare or business-related office working with customers, scheduling and/or insurance verification.
- Associates Degree preferred
- Familiarity with insurance guidelines and basic medical terminology
- EMR experience preferred
- Proficient in Google Workspace (Gmail, Docs, Sheets, Chat, etc.)
- Strong interpersonal, telephone, and communication skills
- Pleasant and skilled at building strong relationships with people from all backgrounds and abilities
- Sales skills preferred or a willingness to learn basic sales skills
- Effective problem-solving and creative thinking skills
- Strong time management, organizational, and attention-to-detail skills
- Ability to work both independently and as team
- Commitment to providing excellent customer service and patient satisfaction
