Patient Coordinator / Medical Assistant – Medical Aesthetics & Sales Support

We are looking for an enthusiastic, polished, and dependable team member who enjoys aesthetics, connects easily with patients, and is confident recommending products and services that support patient goals.

This role is ideal for someone who loves the aesthetics industry, understands how to create excitement around treatments and skincare, and can support both clinic flow and patient conversion.

Position Summary
The Patient Coordinator / Medical Assistant supports the provider, patients, and front desk by helping with patient flow, room and tray setup, chart and photo follow-through, scheduling, rebooking, and patient communication. This person must also be comfortable educating patients on recommended products and services, reinforcing treatment plans, and helping convert consultations into bookings and retail sales.

Key Responsibilities

  • Prepare rooms and trays for scheduled treatments
  • Support patient flow throughout the day
  • Assist with intake, rooming, and treatment preparation
  • Help take and/or upload before-and-after photos as directed
  • Ensure charts, paperwork, and consents are complete and ready
  • Support checkout, rebooking, and follow-up coordination
  • Perform patient outreach, confirmations, and reactivation calls/texts
  • Educate patients on skincare, retail products, maintenance plans, and recommended services
  • Reinforce provider treatment recommendations in a warm, confident, and professional way
  • Help convert consultations into bookings, treatment plans, and retail purchases
  • Maintain cleanliness, organization, and readiness of treatment areas
  • Assist with front desk support as needed

Qualifications

  • Medical assistant experience preferred
  • Experience in a med spa, plastic surgery, dermatology, or aesthetic setting strongly preferred
  • Strong communication and customer service skills
  • Confident discussing aesthetic treatments, skincare, and product recommendations
  • Comfortable with sales, rebooking, and patient follow-up
  • Enthusiastic, polished, and professional presence
  • Highly organized and dependable
  • Reliable attendance and punctuality required
  • Comfortable multitasking in a boutique clinic setting
  • Able to follow through without repeated reminders

Compensation
