Responsibilities
- Greet patients warmly and professionally, ensuring a positive first impression at the front desk or reception area
- Collect and verify patient information, including insurance details, demographic data, and medical history using EMR (Electronic Medical Record) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms
- Schedule appointments accurately using medical scheduling software; coordinate with clinical staff to optimize daily clinic flow
- Review documentation for completeness and accuracy, ensuring compliance with HIPAA regulations and other privacy standards
- Verify insurance coverage, perform insurance eligibility checks, and handle authorization requests for procedures or treatments
- Assist with medical billing processes by coding diagnoses (ICD-10/ICD-9), procedures (CPT coding), and ensuring proper documentation review
- Maintain organized medical records and files, ensuring confidentiality and adherence to health information management standards
- Answer multi-line phone systems professionally, providing excellent patient service while managing appointment inquiries or follow-ups
Skills
- Strong knowledge of medical terminology, ICD coding (ICD-10/ICD-9), CPT coding, and insurance verification processes
- Experience with EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix/Eaglesoft for documentation and scheduling
- Proficiency in Microsoft Office Suite (Word, Excel) along with strong typing skills (including 10-key typing) for accurate data entry
- Familiarity with HIPAA regulations to ensure patient privacy and confidentiality at all times
- Excellent communication skills with a professional phone etiquette; bilingual abilities are highly valued to serve diverse patient populations
- Prior clinic or medical office experience in a front desk or administrative support role; dental clinic experience is a plus
- Ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced environment
- Knowledge of health information management systems and familiarity with dental terminology or hospital experience enhances your fit for this role
