The Patient Services Coordinator (PSC) – Confirmation Team is responsible for ensuring high patient confirmation rates and reducing no-shows through proactive outreach and follow-up. This role plays a key part in protecting the schedule, improving clinic efficiency, and enhancing patient experience. The PSC Confirmation team works alongside automated communication systems and is responsible for reaching patients who have not confirmed, ensuring appointments are secured in advance, and addressing any patient needs prior to their visit. This role includes a combination of outbound and inbound responsibilities, with a primary focus on confirmation and patient engagement.

Duties and Responsibilities:

Appointment Confirmation and Outreach (Primary Focus)
-
Conduct outbound calls to patients to confirm upcoming appointments
-
Focus on reaching patients for appointments scheduled within the next few days
-
Follow up on patients who did not respond to automated text, email, or IVR confirmation attempts

Maintain high contact and confirmation rates to support clinic readiness

Identify and resolve barriers preventing patients from confirming appointment
Schedule Protection and Optimization:

Proactively reduce no-shows and last-minute cancellations through effective communication

Assist patients with rescheduling when needed to retain appointments within the system

Communicate patient concerns or risks to appropriate teams when necessary

Support maintaining full and optimized clinic schedules
Data Accuracy and Documentation

Accurately document all patient interactions, confirmations, and updates in the system

Ensure patient contact information is up to date

Track and update confirmation status based on outreach results

Meet or exceed KPIs related to confirmation rates, contact rates, and quality standards

Maintain strong productivity and follow daily workflows and assigned tasks

Adhere to call handling standards and communication guidelines

Participate in coaching and continuous improvement initiatives
Collaboration and Operational Support

Work closely with inbound teams, supervisors, and clinic staff to support daily operations

Assist with additional outbound or inbound tasks as needed based on business needs

Adapt to changing priorities, schedules, and workflows
Minimum Requirements:
- High School Diploma or equivalent required

Customer service or call center experience preferred

Strong communication and interpersonal skills

Ability to handle a high volume of calls and multitask effectively

Strong attention to detail and organizational skills

Comfortable using multiple systems and tools

Bilingual preferred
