Patient Services Representative – Psychology manages the Center for Psychological Services (CPS) (direct mental health service clinic on campus and training clinic for Ph.D., Clinical Psychology Graduate Students). This role identifies, modifies and implements policies and procedures for CPS. This role also supervises undergraduate and graduate student workers assisting clinic manager.
Duties and Responsibilities
1. Manage Center for Psychological Services (CPS) daily operations including clerical support for the clinic director and service providers, ordering clinic supplies through the University purchasing system. Maintain physical space of clinic and clinician workspaces.
2. Maintain clinician schedules and track clinician activities including scheduling, note writing, invoicing, billing, and client progress monitoring
3. Supervise CPS graduate and undergraduate student office associates to support daily operations. Hire and supervise student employees.
4. Create and oversee clinic procedures for operating
5. Answer client phone calls; conduct initial mental health phone screening to determine eligibility and fit for services.
6. Work with insurance companies to assess client eligibility for services.
7. Work with billing companies to submit invoices for payment remittance.
8. Work with clients to track invoices, billing, and payment
9. Manage Titanium EMR system, PRN outcome monitoring system, and VALT video recording system. Maintain physical clinical records according to WI Psychological Association rules for documentation retention.
10. Maintain all privacy standards as set forth by the Health Insurance Portability and Accountability Act (HIPPA) including protecting patient medical records and records requests including set-up, scanning documentation and archiving; and maintain all privacy standards as set forth by the Family Education Rights and Privacy Act (FERPA).
Required Knowledge, Skills and Abilities
High school diploma required.
Proficiency in clinic management duties such as but not limited to familiarity with health care service provision and setting, experience with client phone calls and interviews, familiarity with private client and/or insurance billing, ease of managing insurance contracts, understanding of mental health diagnostic codes, familiarity with electronic medical record systems and other clinic technology such as video recording and progress monitoring.
Requires experience in a fast-paced clinical environment.
Experience with Excel, Microsoft Word and PowerPoint
Customer service skills; flexibility; prioritization and organizational skills.
Initiative and ability to work autonomously.
Strong problem-solving skills
Preferred Knowledge, Skills and Abilities
Bachelor’s or Associate’s degree preferred.
Specific experience with VALT, Titanium, PRN software systems preferred.
