Patient Services Supervisor

Job Summary

The Patient Services Supervisor is responsible for overseeing the daily operations of the patient services department, ensuring efficient patient flow, high-quality customer service, and smooth coordination between patients, medical staff, and administrative teams. The role focuses on improving patient experience, managing front desk operations, and maintaining operational efficiency within the healthcare facility.

Key Responsibilities

  • Ensure a high standard of patient care and customer service at all patient interaction points.
  • Address patient inquiries, concerns, and complaints in a professional and timely manner.
  • Monitor patient satisfaction and implement improvements to enhance the patient experience.
  • Supervise the patient services/front desk team including receptionists and coordinators.
  • Manage patient registration, appointment scheduling, and check-in/check-out processes.
  • Ensure accurate patient data entry and proper documentation in the hospital information system.
  • Maintain efficient patient flow to minimize waiting times.
  • Train, supervise, and evaluate patient services staff.
  • Develop duty rosters and manage staff schedules.
  • Conduct regular performance reviews and provide coaching to team members.
  • Coordinate with doctors, nurses, and other departments to ensure seamless patient services.
  • Ensure proper communication of appointment changes, delays, or cancellations.
  • Monitor daily operations to ensure compliance with healthcare facility policies and procedures.
  • Prepare reports on patient volume, appointment utilization, and service performance.
  • Maintain records of patient feedback and service improvements.
  • Assist management in implementing new patient service initiatives and workflows.

Requirements

  • An Arabic female locally available with a valid resident permit
  • Bachelor’s degree in Healthcare Administration, Business Administration, or a related field.
  • Minimum 3–5 years of experience in patient services, in private clinics, hospitals, or diagnostic centers.
  • Strong leadership and team management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Hospital Information Systems (HIS) and MS Office.
  • Strong problem-solving and conflict resolution abilities.
