Payroll & Admin Assistant

We are expanding our global team and looking for Payroll & Admin Assistant to bring their wider knowledge and help us get our product and service more widely known and used.

Key Responsibilities


  • Support payroll processes by collecting, entering, and updating employee data (working hours, leave, personal and banking details), filing payroll-related documentation, and assisting with salary calculations under the guidance of senior payroll specialists.
  • Prepare, review, and organize basic payroll reports, tax forms, and social security/insurance documents, ensuring accuracy and timely submission.
  • Provide first-line support to employees regarding payroll and administrative questions, redirecting complex matters to the appropriate team members.
  • Handle day-to-day administrative tasks in Istanbul, including mail and courier deliveries, archiving, and managing official documentation.
  • Take responsibility for various on-the-go tasks such as coordinating with service providers, ensuring smooth completion of local administrative requirements, and assisting colleagues with errands.
  • Act as the company’s Power of Attorney (PoA) in Istanbul, representing the company in front of local authorities, banks, notaries, and other institutions when required.
  • Support general administrative needs such as document processing, scanning/copying, basic sales support (invoices/contracts), and preparing reports related to company activities.


Requirements


  • Must be permanently based in Istanbul, Turkey – flexibility to travel within the city for errands and administrative duties is essential.
  • Willingness and reliability to act as Power of Attorney for the company in Istanbul, including official representation at government offices, banks, notaries, and service providers.
  • Previous experience in payroll, administration, is an advantage.
  • Basic knowledge of payroll processes and data entry.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Excellent communication skills in Turkish and English (written and verbal).
  • Reliable, discreet, and able to handle confidential information.
  • Service-oriented mindset with a proactive, hands-on approach.
