Payroll Administrator (Full-time) - Baton Rouge, LA
We are seeking a detail-oriented and highly organized Payroll Administrator to join our team. This position works under the direction of the Controller. The qualified candidate will play a critical part in ensuring accurate and timely processing of employee payroll, maintaining compliance with all federal and state regulations, and supporting the HR and accounting departments with payroll-related inquiries. The ideal candidate has a strong understanding of automated payroll systems and payroll tax regulation and compliance, excellent numerical accuracy, and a proactive approach to problem-solving, ensuring our employees are compensated correctly and on time.
- Days and hours of work are Monday – Friday 8:00 a.m. to 5:00 p.m.
- This position is located in our main office in Baton Rouge
JOB DUTIES & RESPONSIBILITIES
- Process semi-monthly payroll for hourly, salary, and commissioned employees across multiple states and entities by the established deadlines
- Process and maintain records of deductions, earnings, bonuses, commissions, taxes, employee benefit premiums, leave, and employee loans such as 401k, H.S.A., and employee draws
- Collect and process time sheets for hourly employees
- Collect, compile, and enter payroll data
- Address and resolve any payroll discrepancies
- Update records for new hires, terminations, compensation changes and other status updates
- Handle confidential and time sensitive information
- Assist employees with payroll-related questions
- Perform internal audits to ensure payroll and reporting accuracy
- Ensure legal and regulatory compliance with federal and state regulations and guidelines
- Review and reconcile monthly insurance carrier invoices with company records
- Prepare reports for upper management and accounting department
- Prepare requested reports and communicate with insurance carriers and other payroll related vendors
JOB REQUIREMENTS & SKILLS
- 5+ years of previous payroll experience required
- Proficiency in payroll software systems required (preferably Dayforce HRIS)
- Strong Excel and data handling skills
- Experience processing payroll for a multi-state business
- Thorough knowledge of payroll tax laws and regulations
- Strong understanding of payroll accounting principles
- Associate or bachelor’s degree in finance, accounting, or related field preferred
- Excellent attention to detail and accuracy
- Strong problem-solving skills
- Ability to effectively prioritize and manage multiple tasks and meet all deadlines
- Effective communication skills for day to day written and verbal contact with all levels of the organization
