JOB SUMMARY:

This is an exempt position. Under the supervision of the Human Resource Manager, performs payroll accounting and human resource duties. This includes setting up payroll account codes, setting up voluntary deductions, processing and auditing payroll, auditing payroll reports, and processing tax forms and resolving payroll issues. Contributes to the administration of human resources policies, procedures and programs; carries out responsibilities in the following functional areas: Human Resource Information System (HRIS), recruitment, employee relations, training, and benefit administration.

ESSENTIAL FUNCTIONS:

PAYROLL

  • Process bi-weekly timesheets, exception reports and reimbursements.
  • Verify that all times sheets have been reviewed and approved by appropriate supervisors.
  • Enter and audit timesheet data in payroll time keeping system bi-weekly.
  • Approve all timesheets in the timekeeping system and export information to the payroll system.
  • Transmits and audits payroll bi-weekly.
  • Prepares and reconciles all benefit and wage reconciliation worksheets.
  • Reconciles and transmits 403(b) employee contributions to vendor bi-weekly.
  • Reconciles payroll month end reports to include wage accruals against the correct GL account.
  • Audits vacation and sick accrual report, monthly.
  • Transfer funds to the payroll account once payroll is processed and finalized.
  • Ensures that Valley Village adheres to all legal wage-hour requirements mandated by both federal and state law.
  • Compiles payroll data, and enters employee changes, wages, and reconciles errors to maintain payroll records using the Payroll system.
  • Reviews wages, corrects errors to ensure accuracy of payroll.
  • Processes employee payroll changes.
  • Prepare periodic reports of earnings, taxes, and deductions.
  • Prepare and issue manual paychecks.
  • Follow up with employees to ensure that all payroll documents are received.
  • Ensure that employees’ payrolls are processed timely and accurately.
  • Understand all aspects of payroll in regards to laws and regulations.

HUMAN RESOURCES

  • Reviews applications and conduct initial interviews with applicants to ensure that positions are filled as quickly and efficiently as possible.
  • Assist in creating and updating job descriptions as needed.
  • Participate in need to hire meetings to review and identify staffing requirements.
  • Verifies references and conducts background checks as applicable.
  • Makes job offers to qualified candidates
  • Attend job fairs and represent Valley Village in a positive, professional manner.
  • Arranges and conducts employee information presentations and enrollments.
  • Process benefit enrollments and changes for new hires, terminations, leaves of absence, COBRA-eligible events and open enrollment.
  • Coordinate and assist with the new hire process, including assisting and ensuring new hires properly complete on-boarding process, submit and process paperwork to appropriate departments, create new employee files, coordinate orientation and support training efforts
  • Maintains employee training records up to date by scheduling, sending letters to employees and coordinating required trainings and updates information in the HRIS
  • Works with managers, supervisors and directors and advises on the progressive discipline process.
  • Input new hires and employee updates in the HRIS
  • Process terminations and ensure all legal documents are given to the employee in a timely manner
  • Cover receptionist during his/her lunch break.
  • Assist with general filing in HR office
  • Assist with the creation of the monthly employee newsletter
  • Assist with creating termination files as needed
  • Performs other related duties as required and assigned.

REQUIREMENTS:

  • High School Degree/GED
  • Bachelor’s Degree in Accounting or related field preferred
  • 3 or more years payroll experience required
  • 3 or more years human resource experience required
  • Knowledge of payroll tax, wage-hour and all other federal and state laws pertaining to the payroll process.
  • Experience with computerized payroll systems required
  • Proficient in Microsoft Office
  • Experience with Payroll/HR software’s preferred
  • Excellent computer typing skills
  • Must clear a current background check through the FBI and DOJ

Job Type: Full-time

Pay: $68,640.00 per year
