Payroll Assistant

The Payroll Assistant is responsible for supporting payroll processes across the organization, ensuring accuracy, timeliness, and compliance. The role demands exceptional attention to detail, strong organizational abilities, and a high degree of discretion when handling sensitive information.

Payroll Assistant Primary Responsibilities:

  • Assist with the preparation and processing of employee payroll
  • Verify attendance, hours worked, and pay adjustments, and post information onto designated records.
  • Issue and record adjustments to pay related to previous errors or retroactive increases.
  • Maintain and update employee records, including tax and other required information
  • Review and verify employee data for accuracy and generate payroll reports
  • Calculate and process payroll payments via checks or electronic transfers
  • Record, reconcile, and validate payroll-related data
  • Address employee questions related to payroll, deductions, and taxes
  • Ensure payroll activities comply with federal and state regulations
  • Assist with various year-end reporting and audits that require payroll information
  • Facilitate the new hire and on-boarding paperwork for new employees and enter employee information into the payroll system. Conduct verifications of employment.
  • Facilitate employee terminations/resignations by processing final pay, updating payroll records, and ensuring compliance with applicable laws and company policies.
  • Assist with annual open enrollment for health and voluntary benefits.

Payroll Assistant Other Responsibilities:

  • Assist with monthly and annual close process
  • Process broker payments
  • Assist with handling and processing checks received from customers
  • Other finance and administrative tasks as assigned

Job Type: Full-Time

Work Location: Hybrid - Ridgefield Park, NJ

Education: Bachelor's in Accounting, Finance or related field

Skills/Qualifications:

  • Prior experience in payroll or accounting is preferred but not required.
  • Strong attention to detail to ensure accurate processing of payroll information
  • Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
  • Ability to work independently as well as collaboratively in a team environment
  • Strong analytical and problem-solving skills
  • Ability to maintain confidentiality when handling sensitive payroll information
  • Familiarity with Viventium payroll software and Microsoft Office applications, including Excel and Word
