Payroll Coordinator (Full-Time)

Position Description


The Payroll Coordinator at Penhall Company is responsible for supporting weekly payroll processing, ensuring compliance with union requirements, managing various payroll functions, and employment verifications. This role requires strong organizational skills, attention to detail, and experience with payroll systems. This role is onsite at our Corporate headquarters in Irving, TX. This is a full-time position, with competitive pay and comprehensive benefits.

Essential Duties and Responsibilities

  • Process weekly payroll for approximately 900+ employees, for our U.S. and Canadian groups, while supporting and backing up the Payroll Lead.
  • Work with managers to ensure accurate payroll entries and edits.
  • Ensure compliance with union pay rules for CA, HI, IN, NV, OR, WA (OT rules, shift premiums, reckoning of time, deductions, fringes, remittances, etc.).
  • Process final pay requests within state and union required timelines.
  • Process garnishments/wage orders, properly notifying employees upon receipt, perform withholding calculations, remit payment request for payment to appropriate agency.
  • Process 401(k) loans: enter new loans, track repayments, close loans as appropriate.
  • Update weekly benefit deductions for new hires and terminations
  • Process per diem Pay Wisely card requests and submit to Accounts Payable.
  • Monitor PTO eligibility and adjust accruals at 5- and 10-year milestones.
  • Process employee referral bonus program: initiate payments, update terminated employees, reconcile balances.
  • Respond to Verifications of Employment via ADP online portal
  • Monitor payroll Outlook mailbox and respond to payroll-related emails (Pay Wisely card requests, garnishments, compensation changes, PTO/payroll issues).
  • Maintain accurate employee documentation in HR/Payroll systems (Vista Viewpoint); handle timecard portal (KeyStyle) support requests.
  • Provide documentation for internal and external audits and assist with 401(k) match contribution setup.
  • Support employee terminations and status changes and perform other payroll duties as assigned.
  • Ensure compliance with company policies and procedures
  • Ensure total confidentiality of payroll.

  • System Proficiency: Demonstrates strong command of payroll and timekeeping systems to ensure efficient processing.

Position Requirements


Qualifications-Need to Have and Nice to Have:

  • High school diploma or equivalent required; associate or bachelor’s degree in Business, Accounting, or a related field preferred.
  • Minimum 2-3+ years of payroll processing in an ERP environment.
  • Good working knowledge of payroll laws.
  • Union and certified payroll knowledge highly desirable.
  • Overall understanding of the reconciliation process.
  • Proficient in Microsoft Office (Outlook, Excel, and Word).
  • Vista Viewpoint knowledge is a plus.
  • Knowledge of ADP Wisley Pay pay card program desired.
  • Must be able to provide excellent customer service to internal and external clients.
  • Excellent analytical, and organizational skills. Must have initiative and be dependable. Proven experience working in a fast-paced demanding environment while maintaining accuracy.
  • Ability to handle confidential information with discretion.
  • Display a professional and courteous attitude to co-workers, supervisors and the general public at all times
  • Versatility, flexibility, and a willingness to work within constantly changing priorities and sometimes conflicting deadlines.
  • Reliable and punctual attendance.
  • Selected candidates for all positions must submit to post offer pre-employment drug/alcohol screen.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Ability to walk job sites as needed.
  • May be required to travel to job sites or other locations as necessary.
