Job Summary
The Payroll Manager is responsible for overseeing all aspects of payroll administration, including payroll processing, general ledger recognition, reporting, and compliance. This position works collaboratively with the Human Resources team to co-administer ADP Workforce Now, which serves as the organization’s integrated payroll, HRIS, and applicant tracking system (ATS). The Payroll Manager plays a key role in ensuring data integrity, system configuration, and process optimization across departments.
Duties and Responsibilities (Essential Job Functions)

Process a timely, accurate, and confidential monthly payroll, paying approximately 250 regular and another 200-250 supplemental/temporary employees, using ADP Workforce Now.

Accurately recognize payroll and benefits expenditure in line with budget amounts in the accounting system (MIP).

Serve as co-administrator of ADP Workforce Now, partnering with HR to manage system configuration, user permissions, workflows, and data integrity across payroll, HRIS, and ATS modules.

Oversee the school’s time sheet software system, Kronos, and transmit timesheet data to ADP Workforce Now. This includes managing communications with supervisors and assisting employees with training to ensure timesheets are submitted timely and accurately.

Ensure payroll is processed in compliance with local, state and federal labor and tax legislation.

Administer the 403(b) retirement plan, including contribution remittance, audit coordination, and IRS Form 5500 preparation.

Maintain payroll-related information including benefit information, staff advances, and miscellaneous deductions.

Manage benefits administration, including processing and reconciling vendor payments for medical, dental, vision, life and disability insurance premiums and reporting employee data to providers and authorities, as required

Process benefit payments to vendors for pension, medical, dental, life and disability insurance premiums

Manage required payroll-related tax withholdings and remittances, including federal, state and local tax remittances

Perform routine discrimination testing regarding pay and benefits

Prepare required payroll-related reports and filings to various agencies and organizations, as needed (NAIS, EEO, Medicare D, OSHA, ACA, etc.)

Prepare required payroll related schedules for annual financial statement audit and month/quarter-end general ledger reconciliation for payroll-related accounts.

Prepare required payroll related reports for internal users (CFO, Controller, HR, etc.) as needed.

Look for opportunities to strengthen and streamline the payroll function, collaboratively with the accounting & HR team

Other payroll and benefits related business office tasks, as assigned.
Requirements and Qualifications
The successful candidate will have:

Bachelor’s Degree.

A minimum of 5-7 years of experience in processing payroll and benefits. An understanding of general ledger accounting is highly desired.

ADP Workforce Now experience is required.

A willingness to work with a unique payroll schedule and structure.

Understanding of federal, state and local laws and regulations regarding employee pay, taxes and benefits.

Demonstrated ability to work collaboratively across departments, particularly with Human Resources, to ensure alignment in payroll, benefits, and system administration processes.

Keen attention to detail, strong initiative, and the ability to prioritize multiple responsibilities.

Salary and Benefits
Salary Range: $95,000 - $105,000 based upon experience
