Responsibilities
- Manage the complete payroll cycle, including data entry, calculations, and processing for all employees using systems such as Workday, ADP, Paychex, UltiPro, Kronos, or Ceridian.
- Ensure compliance with federal, state, and local payroll laws and regulations while maintaining up-to-date knowledge of relevant tax codes and reporting requirements.
- Reconcile payroll accounts regularly by performing general ledger reconciliation, analyzing debits & credits, and preparing journal entries to ensure accuracy in financial statements.
- Oversee benefits administration related to payroll deductions and contributions, coordinating with human resources to ensure seamless benefits enrollment and updates.
- Maintain detailed records of payroll transactions, employee data, tax filings, and audit documentation with meticulous attention to detail.
- Collaborate with accounting teams on accounts payable and receivable processes related to payroll expenses and vendor payments.
- Utilize various accounting software such as QuickBooks or other financial tools to support bookkeeping activities including double entry bookkeeping and non-profit accounting if applicable.
- Conduct account reconciliation tasks regularly to verify data accuracy across multiple financial systems such as PeopleSoft or Oracle HRIS platforms.
- Perform analysis on payroll data to identify discrepancies or trends that could impact financial reporting or compliance efforts.
- Support HR initiatives by assisting with benefits administration, employee onboarding related to payroll setup, and responding to employee inquiries regarding pay issues.
- Ensure timely submission of tax filings related to payroll taxes while maintaining thorough documentation for governmental audits or reviews.
Qualifications
- Proven experience managing payroll operations within complex organizations using systems like Workday, ADP, Paychex, Kronos, UltiPro, or Ceridian.
- Strong understanding of payroll management principles combined with solid knowledge of accounting concepts such as general ledger accounting, journal entries, debits & credits, and account reconciliation.
- Proficiency in using accounting software including QuickBooks; familiarity with other financial tools is a plus.
- Demonstrated ability in data entry with high accuracy (10 key typing skills) alongside attention to detail in bookkeeping tasks.
- Knowledge of human resources processes related to benefits administration and HRIS systems such as PeopleSoft or Oracle HRIS platforms.
- Experience working within governmental or non-profit accounting environments is advantageous.
- Excellent analysis skills capable of interpreting financial data accurately for reporting purposes.
- Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
