Payroll Manager / Senior Payroll Manager

Position Overview
The Payroll Manager will handle end-to-end payroll operations, statutory compliance, employee settlements, and timely salary disbursements. The role requires strong coordination with HR, Finance, Treasury, and external vendors. Responsibilities include managing payroll for both Workmen (WC) and Business Contract (BC) categories, ensuring accuracy and compliance with statutory guidelines.
Key Responsibilities
Payroll Processing
- Prepare and manage monthly payroll calendars.
- Collect, validate, and consolidate payroll data (joiners, exits, CTC updates, LOP, bank details).
- Validate CTC structures, pay registers, and salary variance reports.
- Process payroll JVs and manage monthly TDS payments.
- Share payslips, salary registers, and payroll reports with relevant stakeholders.
Final Settlement (FnF)
- Collect FnF inputs: notice recovery, leave encashment, pending dues.
- Validate FnF pay registers and reconcile with FCTC trackers.
- Prepare FnF journal entries and coordinate with Treasury for payouts.
- Share FnF reports and payslips with respective teams.
Statutory Compliance
- Manage PF, Professional Tax, NPS, SAF, Gratuity, and other statutory contributions.
- Coordinate with internal teams for challan validation and fund processing.
- Maintain compliance registers and ensure accurate filings with authorities.
FCTC Management
- Validate FCTC registers and prepare JVs.
- Coordinate with payroll vendors for FCTC fund release.
- Maintain updated trackers and ensure timely payments.
Administrative Responsibilities
- Create and update master data (department, job codes, cost centers, employee/vendor codes).
- Approve resignations, separation dates, no-dues clearance, and gratuity adjustments.
- Support performance cycles, goal-setting, and reporting activities.
- Manage transfers, supervisor updates, and system corrections.
Other Key Activities
- Handle employee payroll-related queries.
- Provide support for cost analysis, statutory challans, monthly provisions, actuarial and ESOP data.
- Manage audit queries, vendor payments, and system error resolutions.
- Generate payroll dashboards, MIS reports, and compliance updates for management.
Skills & Competencies
- Strong knowledge of payroll legislation (PF, PT, NPS, Gratuity, TDS, etc.).
- Proficiency in SAP/HRIS, payroll vendor management, and advanced Excel.
- Strong analytical and reconciliation skills.
- Excellent communication and stakeholder management abilities.
- High attention to detail and strong problem-solving skills.
Qualifications
- Graduate/Postgraduate in HR, Commerce, Finance, or equivalent field.
- 8–12 years of experience in payroll management, preferably in manufacturing or large-scale environments.
- Hands-on experience with SAP/ERP payroll modules.
- Strong understanding of statutory compliance for payroll.
