Overview:

The Payroll Officer is responsible for supporting payroll operations with a primary focus on attendance tracking, shift management, and accurate data preparation. This role ensures that employee working hours, shifts, and leave records are correctly maintained and reflected in payroll processing.


Key Responsibilities:

  • Monitor and manage employee attendance, including timekeeping, absences, lateness, and overtime.
  • Maintain and update shift schedules, ensuring alignment with business needs and employee contracts.
  • Validate attendance data and resolve discrepancies before payroll processing.
  • Coordinate with department managers (especially operations and sales teams) to ensure accurate shift and attendance records.
  • Prepare and provide accurate attendance input for payroll processing.
  • Track and manage employee leave (annual, sick, unpaid) and ensure proper system updates.
  • Ensure compliance with company policies and labor regulations related to working hours and shifts.
  • Generate attendance and shift reports for HR and management review.
  • Support payroll team during payroll cycles by providing verified and accurate data.
  • Handle employee inquiries related to attendance, working hours, and shifts.
  • Maintain accurate records within ERP or timekeeping systems.


Requirements:

  • Bachelor’s degree or diploma in Business Administration, HR, or a related field.
  • Previous experience in payroll support, timekeeping, or attendance management. (Preferred 1-2 years.)
  • Strong understanding of attendance systems and shift scheduling.
  • Fluency in English (written and spoken).
  • Familiarity with ERP systems or time and attendance software. (Preferred experience with Microsoft Dynamics.)
  • High attention to detail and accuracy.
  • Strong organizational and problem-solving skills.
  • Ability to handle large volumes of attendance data and meet deadlines.
