The Payroll Specialist supports payroll operations by accurately and timely processing weekly payroll for a multi-state, union-based workforce. This role performs the core activities required to execute payroll cycles, including maintaining payroll records, processing required deductions, preparing payroll related reports, and supporting union and trust fund reporting. The Payroll Processor works closely with HR and Finance to ensure payroll accuracy and compliance, operates within established payroll procedures and controls, and supports payroll system transitions and process documentation.
Responsibilities
Payroll Processing
- Process weekly and biweekly payrolls accurately and on time using Sage 300

Review and validate timecards, job codes, classifications, and pay rates

Process payroll adjustments, retro pay, bonuses, and off cycle payrolls

Identify discrepancies and escalate issues prior to payroll submission
Union Payroll & Reporting

Generate union and trust fund reports for multiple locals

Calculate and validate fringe benefits, deductions, and contributions

Ensure payroll aligns with applicable collective bargaining agreements

Track and support union rate changes, add ons, and special pay rules
Compliance & Controls
- Adhere to payroll calendars, deadlines, and audit controls

Support quarterly and annual payroll filings and reconciliations

Maintain accurate payroll records and documentation

Partner with HR and Finance on audits and data requests
Systems & Transition Support
- Execute payroll processes in Sage 300 during the current state

Participate in payroll testing, parallel runs, and validation for Miter

Follow documented payroll procedures and runbooks

Support payroll process improvements during system transition
Collaboration & Support
- Respond to employee payroll inquiries accurately and professionally

Partner with HR, Finance, and Operations to resolve payroll issues

Support payroll handoffs and backup coverage as needed

Qualifications and Relevant Skills
Required
- 3 plus years of hands-on payroll processing experience or relevant experience

Strong understanding of wage and hour compliance

High attention to detail and accuracy

Ability to meet strict deadlines in a high-volume environment
Preferred
- Experience in construction or skilled trades environments

Multi state payroll experience

Experience supporting union-based payroll environments

Experience using Sage 300 or similar ERP payroll systems
