Job Overview

The Payroll Tax Analyst is responsible for the multi-state payroll tax processing which includes, but is not limited to, federal, state, and local payroll tax compliance and maintaining accurate records on employee tax data.
The Payroll Tax Analyst performs a variety of complex payroll functions in the preparation, processing, maintenance, verification, and reconciliation of employee pay information. Primary focus of the position includes tax jurisdiction review and setup with Workday and ADP SmartCompliance. Perform reviews of Fed, State and Local withholding, Stock processing, quarter and year-end tax review and filing approval with the outsourced vendor

Payroll Tax processing & Audit:
  • Research and resolve multi-state payroll inquiries and related issues.
  • Responsible for running and analyzing payroll audits to identify and correct problems prior to payroll confirmation
  • Interact and provide assistance to other stakeholders regarding taxation and documentation requirements
  • Participate in the year end processing of W2’s
  • Assist with the updating of documentation of payroll procedures
  • Respond to employees’ tax and payroll questions via email and ServiceNow
  • Stay up to date on Federal, state and local payroll and tax laws
  • Partner with vendor to resolve tax notices and exceptions using ADP SmartCompliance
  • Request Vendor to setup new jurisdiction setup for state, and local jurisdictions
  • Prepare and submit all necessary paperwork to ADP including SUI rate changes
  • Partner with vendor to resolve tax notices and exceptions using ADP SmartCompliance
  • Audit data integrity between Workday and ADP Tax to ensure both systems are in sync on a quarterly and annual basis.
  • Design, document and implement procedures to streamline tax and payroll processes as needed.
  • Lead year-end activities including preparing, loading and reviewing imputed income, working with departments submitting imputed income to be included in year-end earnings.
  • Manage tax payroll calendars focusing on quarterly and annual tax filings and annual W2 preparation and filing. Completing tasks in accordance with vendor processing schedules.
  • Review and input tax adjustments as required ensuring Workday is updated to support all tax adjustments.
  • Oversee ADP Smart Compliance, ensuring all taxes are filed, payments remitted and payment/filing issues resolved.
  • Respond to employees’ tax and payroll questions via email and ServiceNow
  • Stay up to date on Federal, state and local payroll and tax laws
  • Lead internal and external payroll tax related audits
  • Supporting Audit and other adhoc reporting requirements
  • Testing – provide support for Testing (initial and any ongoing)

Reporting & MIS:
  • Review periodic tax filing validating if all jurisdictions are filed.
  • Review quarterly and annual tax processing ensuring completeness and accuracy of records.
  • Review Workday and ADP reports to ensure payroll has been vetted in preparation for year-end document preparation.
  • Responsible for all reporting and reconciliations, Payroll tax updates, including the oversight of all year-end activities with vendor
  • Update of Payroll KPI reports on time and correctly as soon as payroll is over

Experience

Minimum years of related experience required:

4 – 6 years of US Payroll tax experience is must

Preferred years of related experience:

4– 6 years customer service experience preferred and US payroll processing experience
