The Department of People and Culture Administrative Assistant is an entry-level position that provides administrative support to the People & Culture team at Primo Medical Group. Responsibilities include assisting with maintaining employee records, helping with communications, and providing reception coverage at multiple locations during lunches, breaks, and vacations.
Key Responsibilities
- Help maintain employee records and files in compliance with company policies.
- Assist with onboarding and orientation by preparing materials, scheduling sessions, and collecting required documentation.
- Assist with scheduling interviews and meetings.
- Provide clerical support such as copying, filing, scanning, and data entry.
- Monitor department inbox and route questions to the appropriate team member.
- Support employee engagement initiatives and company events.
- Support communications by drafting reminders, announcements, and updates.
- Greet and assist employees and visitors; provide reception coverage at multiple locations during lunches, breaks, and vacations.
- Perform other administrative tasks as assigned to support the People & Culture team.
- Offer flexible support to senior management by completing various administrative tasks, projects, and occasional errands as required.
Qualifications
- High school diploma or equivalent required; some college coursework or degree in Human Resources or related field preferred.
- Prior administrative or office experience is helpful but not required.
- Strong attention to detail, organization, and time management skills.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams); willingness to learn our systems.
- Positive, professional, and team-oriented attitude with an interest in learning.
Work Environment
- This role is based on-site at Primo Medical Group during standard business hours.
- Occasional flexibility may be required to support events or deadlines

Language Skills
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
