Job Summary
The People Operations Assistant supports the full employee lifecycle by providing administrative and operational support across key people operation functions. This role is responsible for assisting with job requisitions, pre-boarding activities, leave of absence tracking, employee separation processes, and various special projects. The ideal candidate is detail-oriented, organized, and able to handle sensitive information with discretion while delivering excellent internal customer service.
This position is a Federal Work Study Position available to current University of Utah Students who have applied and been offered Federal Work-Study ( FWS ) as part of your free application for Federal Student Aid ( FAFSA ).
As a student position we will work closely with you so that you can work around your school schedule for the Spring and Summer 26 semesters dependent on FWS funding.
Responsibilities
Essential Functions:Job Requisition Support:- Assist hiring managers with creating job requisitions and processing them for signatures and approval.
- Works with Health Academic HR Representatives to get job requisitions posted in the university’s applicant tracking system ( ATS ).
- Ensure job postings are accurate, consistent, and aligned with organizational standards.
Pre-Boarding Coordination:- Coordinate pre-employment activities including background checks, document collection, and onboarding schedules.
- Communicate with new hires to ensure a smooth transition into the organization.
Leave of Absence Administration:- Help track and document employee leaves of absence in accordance with university and department policies and applicable laws.
- Serve as a point of contact for employees and managers regarding leave status and return-to-work procedures.
Separation Processing:- Support offboarding processes including final documentation, and system access removal.
- Maintain accurate records of separations and ensure compliance with internal procedures.
Data Entry & Record Maintenance:- Ensure data integrity and confidentiality of employee information.
Projects & Reporting:- Assist with HR-related projects such as audits, process improvements, and compliance initiatives.
- Generate reports and dashboards as needed to support workforce planning and decision-making.
General Administrative Support:- Respond to internal inquiries related to people operations processes and policies.
- Provide backup support to other people operations team members as needed.
Minimum Qualifications
EQUIVALENCY STATEMENT :
1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).
