About the job
Based at the Emirates palace Mandarin Oriental, Abu Dhabi within the People & Culture Department, the People Services Executive is responsible to ensure smooth operations & administration of People Services related functions on a daily basis. The People Services Executive reports to the People Services Manager.
As a People Services Executive, you will be responsible for the following duties:
- Active participation and support for People Services Manager & related activities in the colleagues housing on daily basis.
- Supervision, coaching, support, guidance, inspections to direct reports such as People Services Supervisor/coordinator, colleagues housing cleaners and Sub-contractors.
- Assist in any divisional or departmental requirements such as presentations, budget such activities on daily basis.
- Tracking of colleague complete housing related operations & communication, contracts, follow ups with People Services Manager.
- All colleagues housing related updates to inform to People Services Manager on a daily basis.
- Preparation of letters / Memo /Notice/Posters type of any communication for the Colleagues Housing requirements.
- Update the housing allocation on a weekly basis and share it with the People Services Manager as well as the Director/Assistant Director of People & Culture.
- Coordinate with P&C coordinators to provide the new joiners lockers and maintain the records of colleague’s lockers and spare keys.
- Assist to provide the access for the pest control treatment, diffuser oil filling such as for the colleague’s lockers.
- Coordinate / supervise with colleagues’ housing maintenance technician/supervisor to follow up and update for the required maintenance in the colleagues housing.
- Coordinate with the sub contract for the maintenance contract renewal on time to time
- Assist in preparing the document or inventory for the discard assets in the housing buildings in time the time.
- Assist to raise the purchase request for the required items for the housing operations.
- Assist to prepare the letter / email to the housing building tenancy contract renewals for the landlords.
- Conduct the spot inspection for cleanness in the colleagues housing on monthly bases and record all the files accordingly.
- Assist / supervise to give the access along with the building security to the apartment/rooms for the pest control treatment team, maintenance team and maintain the records.
- Coordinate with the transportation company to arrange the transportation for the new joiners.
- Assist to welcoming the new joiners in the colleagues housing.
- Review and co-ordinate all Colleagues’ complaints and suggestions & and update to the people services manager to time to time.
- Assist any transportation requirement from the P&C team or any departments.
- Ensure compliance with UAE labour law.
- Assist in developing and implementing People services standard practices
As a People Services Executive, we expect from you:
- Minimum 3 years’ experience in the same role within a luxury hotel, resort experience will be a plus.
- High School Diploma or equivalent
- Strong organizational and coordination skills
- Good level of English both written and spoken
- Well-verse in MS Office (Excel, Word, Outlook)
