A private business owner and head of household is seeking a highly capable, organized, tech-savvy, and discreet Personal Assistant /Bookkeeper and Personal Operations Assistant to provide ongoing personal administrative, bookkeeping, and operational support.
This role is designed for someone who can function as a reliable extension of the client— managing details, coordinating moving parts, maintaining organization, and helping streamline both personal and business day-to-day operations with professionalism and sound judgment.
This is a primarily remote position with one weekly in-person meeting to start.
Primary Responsibilities:
Personal Bookkeeping & Financial Organization
- Personal bookkeeping and expense tracking
- Organizing and retrieving receipts and financial records
- Preparing and coordinating documentation for accounting and tax professionals
- Oversight of bill payments, reimbursements, and financial organization
Administrative & Operational Support
- Calendar management, scheduling, and reprioritization of tasks
- Coordination of appointments, meetings, and ongoing logistics
- Managing applications, renewals, document requests, and administrative processes
- Organizing, storing, and retrieving important personal and family documentation
- Coordinating with banks, vendors, service providers, and advisors
- Reviewing legal documents to summarize and flag details
- Maintaining task lists, reminders, and operational follow-through
- Assisting with miscellaneous personal and business needs as they arise
Travel & Logistics Coordination
- Trip planning and itinerary management
- Reservation coordination and logistical planning
- Managing schedules and travel-related organization
Personal Home & Lifestyle Support
- Personal property check-ins and oversight while traveling
- Assisting with busy lifestyle and household operational needs
Ideal Candidate:
- Professional, discreet, and trustworthy
- Highly organized with exceptional attention to detail
- Tech savvy and proficient with Microsoft Office, Google Applications, AI platforms and other modern software and web-based systems
- Exceptional written and verbal communication skills
- Understanding or experience in legal documentation review
- Proactive, responsive, and resourceful
- Self-directed with the ability to anticipate needs and solve problems independently
- Comfortable managing a wide variety of responsibilities in a fast-moving environment
- Prior bookkeeping experience required, executive assistant, operations, or private support experience highly preferred
