Key Responsibilities1. Executive Support
- Manage the Director’s daily schedule, appointments, and meetings.
- Handle confidential correspondence, reports, and internal communication.
- Prepare presentations, letters, and meeting minutes with accuracy and professionalism.
- Screen phone calls, emails, and requests, prioritizing matters that require immediate attention.
2. Coordination & Communication
- Liaise between the Director and company departments, clients, and external partners.
- Follow up on pending actions, deadlines, and deliverables.
- Ensure smooth coordination for all executive-level interactions and business activities.
3. Travel & Logistics
- Arrange and coordinate business travel, visa processing, hotel bookings, and transportation.
- Prepare detailed itineraries, including meeting schedules and local contact information.
- Manage expense claims and travel reports.
4. Office & Documentation Management
- Maintain and organize important files, contracts, and confidential records.
- Draft and review official documents, letters, and internal memos.
- Support in preparing proposals, reports, and presentations as needed.
5. Event & Meeting Coordination
- Organize internal/external meetings, business events, and conferences.
- Prepare agendas, materials, and ensure proper follow-up of meeting outcomes.
6. Personal & Administrative Tasks
- Handle personal tasks for the Director as required (appointments, errands, renewals, etc.).
- Maintain utmost discretion and confidentiality at all times.
