Position Title: Personal Assistant
Department: Administration / Executive Office
Reports To: Managing Director / Executive / Individual Employer
Overview
The Personal Assistant (PA) provides high-level administrative and personal support to ensure the smooth management of day-to-day operations. This role involves managing schedules, handling correspondence, coordinating meetings, and assisting with both professional and personal tasks.
Key Responsibilities
- Manage the employer’s calendar — schedule meetings, appointments, and travel arrangements.
- Handle incoming calls, emails, and correspondence on behalf of the employer.
- Prepare reports, presentations, and documentation as required.
- Organize and maintain filing systems, records, and confidential information.
- Coordinate travel itineraries, accommodation, and logistics for business or personal trips.
- Handle personal errands, purchases, and household management when required.
- Liaise with internal teams, clients, and vendors professionally and discreetly.
- Maintain confidentiality and exercise discretion in all matters.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Assist with event planning, scheduling, and coordination.
Skills & Qualifications
- Bachelor’s degree preferred (Business Administration or related field an advantage).
- Proven experience as a Personal Assistant, Executive Assistant, or in an administrative role.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and scheduling software.
- High level of professionalism, integrity, and discretion.
- Ability to work independently and manage multiple priorities.
- Flexibility to adapt to the employer’s schedule and requirements.
