Overview
We are seeking a dynamic and highly organized Personal Assistant to support executive leadership and streamline daily operations. Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements efficiently.
  • Provide executive administrative support by preparing correspondence, reports, and presentations with accuracy through proofreading and transcription.
  • Coordinate projects by tracking deadlines, organizing files, and facilitating communication among team members to ensure timely completion.
  • Handle office management duties including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for easy retrieval.
  • Assist with event planning for meetings or company functions, including logistics coordination and vendor communication.
  • Respond professionally to phone inquiries using multi-line phone systems while practicing excellent phone etiquette.
  • Support front desk operations by greeting visitors, managing incoming calls, and maintaining a welcoming office environment.

Requirements

  • Proven experience as a Personal Assistant or in an administrative role with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for document signing workflows.
  • Excellent typing speed along with data entry and clerical experience to ensure accuracy in all tasks.
  • Knowledge of bookkeeping software such as QuickBooks combined with basic bookkeeping skills.
  • Strong project coordination abilities with experience managing multiple priorities simultaneously.
  • Exceptional communication skills including phone etiquette and customer service orientation.
  • Office management experience including filing systems, front desk responsibilities, and handling multi-line phone systems.
