We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Responsibilities
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements with precision.
- Provide executive administrative support by preparing reports, proofreading documents, transcribing meetings, and ensuring accuracy in all communications.
- Coordinate projects by tracking deadlines, organizing files, and facilitating communication between team members using project management tools.
- Handle office management duties including filing, data entry, bookkeeping with QuickBooks, and overseeing office supplies inventory.
- Serve as the front desk ambassador by greeting visitors, answering multi-line phone systems with professional phone etiquette, and directing calls appropriately.
- Support event planning activities for company functions or client meetings, ensuring all logistics are handled efficiently.
- Perform clerical tasks such as photocopying, faxing, mailing, and maintaining organized digital and physical filing systems.
Skills
- Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
- Excellent typing speed and accuracy for data entry, transcription, proofreading, and document preparation.
- Strong project coordination abilities to manage multiple tasks simultaneously while meeting deadlines.
- Exceptional phone etiquette skills with experience handling multi-line phone systems professionally.
- Office management expertise including filing systems, office supply management, and front desk responsibilities.
- Ability to adapt quickly to changing priorities with excellent time management skills.
- Familiarity with DocuSign for electronic document signing processes is a plus.
