Duties
- Manage and maintain detailed calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings or notes.
- Coordinate projects by tracking deadlines, preparing reports, and liaising with internal teams to ensure timely completion.
- Organize and oversee office operations such as filing, data entry, bookkeeping using QuickBooks, and managing office supplies to ensure a productive work environment.
- Plan and execute events ranging from small meetings to large conferences, handling logistics such as venue booking, catering, and technical setup.
- Handle multi-line phone systems with professionalism and courtesy while maintaining excellent phone etiquette.
- Assist with clerical tasks including filing, photocopying, faxing, and managing front desk responsibilities to create a welcoming atmosphere for visitors.
- Utilize computer literacy skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation and data management.
- Support personal errands for executives as needed while maintaining strict confidentiality and discretion.
Qualifications
- Proven experience as an executive personal assistant or in a similar administrative role with a strong background in office management.
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), QuickBooks for bookkeeping, and DocuSign for electronic signatures.
- Excellent typing speed and accuracy along with transcription skills.
- Strong project coordination abilities to manage multiple initiatives simultaneously.
- Outstanding communication skills with professional phone etiquette and customer service orientation.
- Experience handling calendar management using Microsoft Outlook Calendar or similar tools.
- Knowledge of multi-line phone systems and front desk operations to provide excellent reception services.
- Ability to proofread documents meticulously and perform data entry accurately.
- Office experience that demonstrates familiarity with clerical tasks such as filing, data entry, and office supply management. Job Type: Part-time
Pay: $17.00 - $19.00 per hour
