As a personal assistant, you have the inside scoop on what is needed to keep company production high and morale soaring. You are tasked with helping a specific executive by managing schedules, making appointments and ensuring that the day-to-day tasks are taken care of. You help plan every part of the physician’s day in order that it’s as efficient and productive as possible. You may also receive simple errands to run that allow you to leave the office and experience a change of environment throughout the day. Job Responsibilities

· Schedule and plan out each day for the physician, consulting with her as you prioritize appointments and meetings.

· Keep notes of meetings and track of important items discussed that require deeper analysis at a later time, freeing up the executive to focus on the meeting.

· Handle all correspondence that comes through the office, making quick decisions about what calls, emails and visitors are important and which can be rescheduled at a later time.

· Manage travel itineraries both locally and globally as physician travels for meetings and conferences frequently.

· Run day-to-day errands and coordinate special events.

· Maintain organization and pay attention to detail throughout the day to ensure all documents and important contracts are filed and marked appropriately.

· Maintain physician’s communication methods, ensuring that all messages, calls and emails are organized and addressed.

· Assist with marketing activities in the practice, which may include social media posting, updating TVs in all rooms with patient photos, advertisements, promotions, etc., updating certain items on the website, creating e-blasts and newsletters for patients, coordinating and taking videos for social media, etc.

· Help with administrative duties around the office as needed – scanning, copying, confirming meeting times and locations, etc.

Job Type: Full-time

Pay: From $20.00 per hour
