Personal Assistant to the Founder
About This Role
We are looking for a resourceful, warm, and highly organized Personal Assistant to support the in the management of her personal and household life. This is not an administrative office role. It is a life management role for someone who thrives on logistics, anticipates needs before they are spoken, and finds genuine satisfaction in bringing order to complexity.
If you spent years managing a household, raising children, coordinating school schedules, planning events, overseeing home repairs, and somehow made it all look seamless, that experience is directly relevant here and will be taken seriously.
What You Will Do
Daily and Weekly Logistics
- Manage personal calendars using Google Workspace, coordinating appointments, family commitments, and personal scheduling across multiple time zones and priorities
- Draft personal correspondence, send timely follow-up communications, and manage email threads that require tracking and response
- Handle phone calls with professionalism, warmth, and discretion
Home and Household Coordination
- Vet, hire, schedule, and oversee vendors for home maintenance, repairs, and service needs
- Maintain organized systems for household documents, warranties, receipts, and service records
- Monitor and follow up on open tasks to ensure nothing falls through the cracks
Relocation Planning
- Coordinate and project-manage an upcoming cross-country move, including vendor research, logistics timelines, packing coordination, utility transfers, and transition details
Event Planning
- Lead planning for an upcoming graduation celebration and other personal events, including venue sourcing, catering coordination, guest communication, and day-of logistics
Travel Coordination
- Research and book personal travel including flights, accommodations, ground transportation, and itinerary details
- Anticipate needs, prepare travel documents, and troubleshoot in real time when plans shift
Who You Are
- Exceptionally organized with a genuine instinct for systems and follow-through
- Comfortable with ambiguity and able to create structure where none exists
- Proactive rather than reactive: you see what needs to happen before being asked
- Calm under pressure and non-defensive when adjustments are needed or mistakes occur; you treat feedback as information, not criticism
- Warm and discreet: you handle personal information with maturity and confidentiality
- Resourceful locally
Skills and Experience
- Prior experience as a personal or executive assistant is preferred; significant life management experience will be genuinely considered
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
- Comfort with tools such as Canva or similar for light organizational and visual tasks
- Experience coordinating events, travel, home projects, or household logistics
- Strong written communication skills
- Non defensiveness, professional humility and ability to own and learn from mistakes is a must!
