Overview
We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Duties

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries
  • Handle correspondence via phone, email, and messaging platforms with professional phone etiquette and timely responses
  • Prepare, proofread, and transcribe documents, reports, and presentations to ensure accuracy and clarity
  • Organize files, manage data entry tasks using QuickBooks and other office management software, and maintain meticulous records
  • Assist with event planning for company meetings, conferences, or special events from inception to execution
  • Support bookkeeping activities such as invoicing, expense tracking, and basic financial recordkeeping using QuickBooks or similar tools
  • Facilitate project coordination by tracking deadlines, following up on action items, and liaising with internal teams or external vendors
  • Perform general office management duties including filing, front desk reception duties, managing multi-line phone systems, and overseeing office supplies

Skills

  • Proven experience as a Personal Assistant or in an administrative support role with strong office management skills
  • Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace (Docs, Sheets), and Microsoft Outlook Calendar
  • Excellent typing speed combined with transcription and proofreading capabilities for accurate document preparation
  • Familiarity with bookkeeping software such as QuickBooks for basic financial tasks and data entry responsibilities
  • Strong communication skills demonstrating professional phone etiquette and customer service excellence
  • Ability to handle multiple projects simultaneously while maintaining attention to detail
  • Experience with event planning from logistics coordination to execution of details
  • Knowledge of office procedures including filing systems, clerical tasks, data entry, and front desk operations
  • Tech-savvy with computer literacy across various platforms and multi-line phone systems
