We are seeking a highly motivated, professional, and detail-oriented Personal Assistant / Executive Assistant to provide direct support to executive leadership across multiple growing businesses. This role requires exceptional organizational skills, discretion, adaptability, and the ability to thrive in a fast-paced entrepreneurial environment.
The ideal candidate will assist with daily operations, executive scheduling, project coordination, travel planning, meeting management, and confidential business matters. This is an exciting opportunity for someone who enjoys working closely with leadership, handling diverse responsibilities, and contributing to the growth of multiple ventures across healthcare, wellness, consulting, investments, and other industries.
Due to the nature of the role, professionalism, confidentiality, and flexibility are essential. An NDA (Non-Disclosure Agreement) will be required upon hiring.
Key Responsibilities
- Manage and maintain complex executive calendars using Microsoft Outlook and Google Workspace
- Coordinate meetings, appointments, calls, and business events efficiently
- Arrange travel accommodations, transportation, and detailed itineraries for executives
- Attend meetings when needed, assist with note-taking, follow-ups, and task tracking
- Handle email correspondence, phone calls, and communications professionally and confidentially
- Support project coordination by monitoring deadlines, deliverables, and ongoing initiatives
- Organize digital and physical records, contracts, reports, and operational documents
- Assist with bookkeeping tasks, invoicing, expense tracking, and QuickBooks management
- Perform administrative tasks including data entry, document preparation, proofreading, and transcription
- Maintain office organization and assist with day-to-day operational needs
- Support multiple business ventures and adapt to shifting priorities as needed
- Assist with occasional personal errands and executive support tasks
- Coordinate with vendors, clients, staff, and business partners professionally
- Be available for occasional local travel and flexible scheduling when required
Qualifications
- Previous experience as a Personal Assistant, Executive Assistant, or Administrative Coordinator preferred
- Strong proficiency in Microsoft Office Suite, Google Workspace, and Microsoft Outlook Calendar
- Experience with QuickBooks and basic bookkeeping procedures is preferred
- Excellent communication skills, both written and verbal
- Strong organizational and multitasking abilities
- Ability to work independently while managing multiple priorities
- Professional demeanor with excellent phone and interpersonal etiquette
- High level of discretion and ability to handle confidential information
- Strong attention to detail and problem-solving capabilities
- Reliable transportation and flexibility for occasional travel
