We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to a busy small business owner. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. Duties
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Handle correspondence via phone, email, and messaging platforms with professionalism and courtesy, demonstrating exemplary phone etiquette and customer service skills.
- Organize files and maintain electronic and physical filing systems to ensure quick retrieval of information.
- Assist with bookkeeping tasks; perform basic data entry and clerical duties efficiently.
- Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items.
- Utilize office technology including multi-line phone systems, Microsoft Office Suite, DocuSign for electronic signatures, and other relevant tools to streamline daily operations.
Skills
- Real Estate License a plus but not required.
- Experience in the real estate industry not required but a plus.
- Proven experience as a Personal Assistant or in an executive administrative support role with strong organizational skills.
- Exceptional proficiency in Microsoft Office (Word, Excel PowerPoint), Google Workspace applications, and data entry tools.
- Strong project coordination skills with the ability to multitask effectively in a fast-paced environment.
- Knowledge of property management software Appfolio a plus.
- Effective office management skills including filing systems, front desk responsibilities, and office experience.
- Demonstrated ability to handle confidential information discreetly while maintaining high levels of professionalism.
Pay: $23.66 - $28.49 per hour
