Personal Assistant / Secretary Job Description
We are looking for a trustworthy, organized, and proactive Personal Assistant / Secretary to personally assist the Director in managing daily business operations, office coordination, and personal tasks. The candidate will play an important role in ensuring smooth communication, proper scheduling, and handling day-to-day responsibilities efficiently and professionally.
Main Responsibilities:
- Manage the Director’s daily schedule, appointments, meetings, and reminders.
- Handle calls, emails, WhatsApp messages, and other communications on behalf of the Director.
- Coordinate with clients, suppliers, subcontractors, and employees regarding ongoing works and updates.
- Prepare and organize quotations, invoices, reports, letters, and official documents.
- Follow up on payments, pending tasks, approvals, and project updates.
- Maintain confidential files, records, and important documents properly.
- Assist in arranging meetings, travel bookings, transportation, and personal appointments.
- Monitor office activities and ensure smooth daily operations.
- Handle personal errands and support the Director with day-to-day management tasks.
- Ensure proper coordination between the Director and all departments/staff.
- Remind and update the Director regarding important deadlines and commitments.
- Support in administrative work, office coordination, and basic accounts follow-up when required.
Requirements:
- Proven experience as a Personal Assistant, Secretary, or Administrative Coordinator.
- Strong communication and organizational skills.
- Ability to multitask and work independently.
- Professional, trustworthy, and responsible personality.
- Good knowledge of Microsoft Office (Word, Excel, Outlook).
- Ability to maintain confidentiality and professionalism at all times.
- Fluent in English; additional languages are an advantage.
- UAE experience is preferred.

Pay: AED2,000.00 - AED3,000.00 per month
