Job Summary:
We are seeking a highly organized, proactive, and detail-oriented bilingual individual to serve as the Personal Assistant to the Managing Attorney. This is a fast-paced, high-responsibility role that requires exceptional organizational skills, professionalism, and the ability to anticipate needs while managing multiple priorities.
The Personal Assistant will work directly with the Managing Attorney to coordinate daily operations, maintain an organized calendar, manage court deadlines, schedule client consultations, coordinate travel arrangements, oversee administrative tasks, and help ensure the firm operates efficiently. The ideal candidate is dependable, resourceful, maintains strict confidentiality, and thrives in a fast-moving legal environment.
Duties:
- Manage the Managing Attorney's calendar, including court appearances, hearings, trials, mediations, meetings, deadlines, and appointments.
- Coordinate and schedule client consultations, retainer signings, and follow-up appointments.
- Prepare and organize daily schedules and ensure the Managing Attorney is prepared for upcoming meetings and court appearances.
- Coordinate travel arrangements, including flights, hotels, transportation, and itineraries.
- Monitor important legal deadlines and ensure calendar accuracy.
- Assist with preparing, filing, and organizing legal documents with courts and government agencies.
- Coordinate with attorneys, staff, clients, courts, and outside vendors.
- Screen calls, emails, and correspondence, responding when appropriate or routing matters to the appropriate team member.
- Track retainers, client onboarding tasks, and ensure new matters are opened promptly.
- Assist with administrative projects and special assignments as directed by the Managing Attorney.
- Run occasional business-related errands, including trips to the courthouse, post office, bank, or other local destinations.
- Maintain confidential records and handle sensitive information with discretion.
- Help improve workflows and keep the Managing Attorney organized and on schedule.
- Perform general administrative duties, including filing, scanning, mailing, and document management.
Qualifications:
- Bilingual proficiency in English and Spanish is required.
- Professional, polished, and dependable demeanor.
- Exceptional organizational and time-management skills.
- Strong ability to prioritize tasks and adapt to changing priorities.
- Excellent written and verbal communication skills.
- Outstanding attention to detail and accuracy.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and the ability to quickly learn legal software.
- Experience managing calendars and coordinating schedules is strongly preferred.
- Previous experience as an executive assistant, personal assistant, legal assistant, or administrative assistant is preferred but not required.
- Ability to work independently with minimal supervision while also collaborating effectively with the team.
- Valid driver's license and access to a reliable vehicle.
Education & Experience:
- High school diploma or equivalent required.
- Associate's or bachelor's degree is a plus.
- Prior law firm or legal experience is preferred but not required.
- Experience supporting executives or managing complex schedules is highly desirable.
