JOB DESCRIPTION
Employee is an at will employee who will serve as an Executive Assistant to Employer to advance and support her work in clothing and other design work, photography, writing as well as related forms of artistic, professional and personal endeavors. The position calls for the exercise of artistic judgment as well as expertise in marketing artistic works including but not limited to photographs, videos, poetry & creative writing and other works of art. The position includes editing various items such as poems and/or short stories and other various writing projects as well as the needed knowledge of Photoshop and keeping up with different technological advances and programs that Photoshop offers plus other possible programs, visiting various businesses to promote IB Production’s various products, errands dealing with any artistic professional or personal projects, emails, phone calls and making travel arrangements for photo shoots and any other arrangements having to do with artistic, professional or personal projects. In addition thereto, Employee will be a driver for the Employer and will be asked to make personal travel arrangements for India Blake and her family. Employee is expected to employ ingenuity, creativity, and initiative in carrying out the duties of Administrative Assistant.
The position of Executive Assistant will involve a multitude of tasks and assignments.
The position calls for an intimate working relationship with computers & devices, photographic applications as well as all forms of social media such as X (formerly Twitter), Facebook, lnstagram, Linkedln and other evolving forms of social media. The tasks and assignments may change from time to time in accordance with the needs of Employer but in essence they are as follows:
1. Driving Employer to both local area destinations and long distance travel destinations. Travel to and from work in Hopewell or to and from Employer's residences in Key West, Vermont or Nantucket will be expected as a necessary component of fulfilling the administrative duties of the job.
2. Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Employer's behalf, both personal and professional
3. Performing research in any areas requested by Employer.
4. Maintaining comprehensive and accurate records
5. Performing minor accounting duties and processing requested orders
6. Organizing meetings, including scheduling and sending reminders
7. Managing the Employer's calendar, including making appointments and prioritizing the most sensitive matters
8. Cooking meals (can be breakfast, lunch and dinner) for Employer
9. Occasionally, Employer will request that the Employee care for the animals, such as walking the dogs, feeding the dogs and cats and other animal maintenance tasks.
10. Occasionally, Employer will request that the Employee care for the children when the regular nanny or regular sitters are not available and the Employer is occupied with other matters.
11. Managing the Employer's social media accounts, both professional and personal
12. Managing and troubleshooting technology and devices
13. Make and organize music playlists
14. Make all necessary travel arrangements for Employer, her family and relevant staff including but not limited to transportation, hotels, restaurants and any other travel-related needs. Making connections with family events
15. Support and promote Employer's poetry and other writings with publishers and across all media by:
a. Providing proofreading and editorial support
b. Providing marketing and copywriting correspondence support
c. Managing self-publishing works of poetry, fiction, mixed media (including photography books, art books, etc)
d. Thinking creatively about new ways to get work out into the world
e. Visiting galleries, shops, and other businesses and making an effort to get Employer’s work displayed on the walls of galleries and for sale in shops, etc.
f. Organize both personal and professional photographs in iphoto
16. Support and promote Employer's photography and other artistic endeavors with galleries, museums, photo contests and other venues
a. Coordinating art-related exhibits as needed
b. Organize photo shoots insuring that all necessary equipment, props, models, and
technicians are on site to execute the shoot.
c. Work with Photoshop to enhance, refine and edit photographs or videos.
d. Employee will be expected to travel to shoots, photo contests, galleries and other
sites to represent Employer in her artistic endeavors.
e. Employee will schedule appointments for Employer and any other team members
to meet and discuss with potential vendors, galleries and museums regarding
Employer’s artistic endeavors and projects.
f. Organize both personal and professional photographs in iphoto.
17. Support and promote all other IB Production endeavors using Employee’s talent and
ingenuity in problem solving resulting great teamwork!
18. Hours expected are generally 8 hours / day with a 5-day work week. Should employee be called upon to work additional hours or on different days employee will be compensated by being given a day off either within the same work week or the following week. Because the position is administrative in nature and calls for professional and artistic judgments, no overtime will be paid should employee work in excess of 40 hrs./week. If employee's hours exceed 5 days/week, comp time will be given as soon as the work schedule allows. Employee should bring up and discuss the best time to take this comp time for the additional day[s] worked. Employee is required to keep accurate records of time spent including dates and hours worked. The Employee is essentially on call - on occasion, Employer may need to contact employee outside the rigid 8 hour day. Employer will be respectful of Employee's time but expects Employee to accept calls that Employer considers important or emergent.
Pay: $30.00 - $35.00 per hour
