Personal Assistant & Clinic Coordinator – Medical Aesthetics

About the Role
We are a growing medical aesthetics business with clinics operating in New York, Houston, and Miami. The owner is based in London, and we are seeking a highly reliable, detail-oriented Personal Assistant / Clinic Operations Coordinator to act as our on-the-ground representative in the U.S.

This role is essential to ensuring clinics run safely, professionally, and in full compliance. You will support nurses during clinic days, manage stock and deliveries, oversee clinic setup and close-down, and provide clear reporting back to the owner.

Key Responsibilities

Clinic Operations

  • Be physically present during clinic days to support nurses and ensure smooth operations
  • Open and set up the clinic before appointments and close the clinic at the end of the day
  • Ensure treatment rooms are prepared and clinic standards are maintained
  • Act as the main point of contact between the clinic and the owner (based in London)

Clinical Compliance & Oversight

  • Ensure all client consent forms are completed correctly
  • Confirm that nurses are carrying out Good Faith Exams as required
  • Monitor that protocols and safety standards are being followed
  • Flag any concerns or issues immediately to the owner

Stock & Inventory Management

  • Receive deliveries of stock and medical supplies
  • Pick up stock when required
  • Conduct regular stock checks and inventory counts
  • Place and manage stock orders
  • Ensure correct storage and handling of all supplies

Reporting & Communication

  • Provide daily and weekly updates to the owner on clinic performance and operations
  • Report on stock levels, clinic activity, and any operational issues
  • Maintain clear records and documentation

Requirements

  • Previous experience in a medical clinic, med spa, or healthcare setting
  • Strong understanding of clinical operations and compliance
  • Highly organized, responsible, and trustworthy
  • Comfortable working independently with minimal supervision
  • Excellent communication skills
  • Willingness to travel between New York, Houston, and Miami
  • Able to start immediately

Preferred (But Not Essential)

  • Experience in medical aesthetics or cosmetic clinics
  • Experience supporting nurses or medical providers
  • Familiarity with consent forms and clinical documentation
