Responsibilities

- Provide comprehensive administrative support to preschool leadership, including scheduling, calendar management, and correspondence handling using tools like Microsoft Outlook Calendar and Google Workspace.
- Coordinate and assist with preschool events, parent meetings, staff trainings, and community outreach activities through meticulous planning and organization.
- Manage digital platforms such as email systems, online forms via DocuSign, and social media accounts to ensure timely communication with families and staff.
- Oversee office operations including filing, data entry, bookkeeping using QuickBooks, and maintaining accurate records of attendance, invoices, and other essential documentation.
- Support front desk duties by greeting visitors, answering multi-line phone systems professionally with excellent phone etiquette, and providing exceptional customer service to parents and vendors.
- Assist with project coordination tasks related to curriculum updates, facility improvements, or special initiatives by tracking progress and preparing reports.
- Perform clerical tasks such as proofreading documents, transcribing notes from meetings or trainings, and ensuring all written materials are clear and error-free.Qualifications
- Proven experience in office management or administrative support roles; prior personal assistant or executive administrative experience is highly valued.
- Strong organizational skills with the ability to multitask efficiently in a busy environment; familiarity with office procedures including filing systems and data entry.
- Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with Microsoft Outlook Calendar; experience with QuickBooks is a plus.
- Excellent communication skills with professional phone etiquette; capable of handling inquiries via phone or email courteously and effectively.
- Demonstrated ability to coordinate projects from start to finish while maintaining attention to detail; experience in event planning is desirable.
- Computer literacy with the ability to learn new digital tools quickly; experience with transcription or proofreading enhances your candidacy.
- Ability to manage multiple priorities efficiently while maintaining a positive attitude; previous office or front desk experience preferred.
