Personal Assistant for Private Family Office

Prominent family office seeking personal assistant to the Interior Design Principle to work in a motivating environment with a supportive team. Will need to manage multiple projects, be highly organized and have excellent time management skills.

The ideal candidate will have Executive Assistant or Personal Assistant experience, private office a plus, and a 4 year degree. Must be detail oriented, have strong work ethic, and the ability to thrive in a fast-paced environment. Candidate must have strong time management skills, be a team player, highly organized, and 3-5 years relevant work experience.

Responsibilities to include but not limited to:

  • Manage active calendar, appointments, phone and email correspondence
  • Serve as a point of contact for clients and partners; provide follow up
  • Coordinate/book travel as needed
  • Office management- purchasing supplies, filing, office organization
  • Execute task list with high efficiency, follow up, and consistent communication
  • Maintain high level of confidentiality/discretion when handling sensitive information.
  • Should be tech-savvy and fully proficient working with Google Suite programs (Gmail, Docs, Sheets, etc.).
  • Manage multiple projects simultaneously, ensuring deadlines are met and deliverables are of the highest quality.
  • Adapt to ever-changing demands and priorities, demonstrating flexibility and problem-solving skills.


Requirements:

  • 3 to 5 years of experience as Personal Assistant, Executive Assistant, Project Manager, or relevant work experience
  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a collaborative team environment.
  • Strong organizational skills and attention to detail.


Salary: $55,000 - $65,000 Annually

Location: Chicago, on site

Job Type: Full-time, Contract
