Personal Assistant to Assistant VP Sales & Marketing

Job Description: We are seeking a highly organized and proactive Personal Assistant to support the Assistant Vice President – Sales & Marketing within a fast-paced real estate environment. The ideal candidate will have at least 5 years of experience assisting senior or C-level executives in the UAE real estate industry, with strong administrative, coordination, and communication skills.

The role requires the ability to manage complex schedules, coordinate sales and marketing activities, handle confidential information, and serve as a key liaison between the AVP and internal departments, brokers, and external stakeholders.

Duties & Responsibilities:

Executive & Administrative Support

  • Provide full administrative and secretarial support to the Assistant Vice President – Sales & Marketing.
  • Manage and coordinate the AVP’s daily calendar, meetings, appointments, and travel arrangements.
  • Screen and prioritize incoming communications, emails, and calls.
  • Prepare professional correspondence, reports, presentations, and meeting materials.

Sales & Marketing Coordination

  • Assist in coordinating sales meetings, marketing campaigns, property launches, and promotional events.
  • Prepare sales reports, market insights, and performance dashboards for management review.
  • Coordinate with sales teams, marketing teams, brokers, and external agencies.
  • Track sales activities, client meetings, and follow-up actions.

Meeting & Documentation Management

  • Organize internal and external meetings, including broker meetings, client presentations, and project updates.
  • Prepare meeting agendas, minutes of meetings (MoM), and follow-up action trackers.
  • Maintain records of sales documents, contracts, and marketing materials.

Travel & Event Coordination

  • Arrange local and international travel, accommodation, visas, and itineraries.
  • Support the planning and coordination of property launch events, exhibitions, and promotional activities.

Stakeholder Communication

  • Act as a liaison between the AVP, internal departments, sales teams, developers, brokers, and clients.
  • Ensure smooth communication flow and timely follow-ups on key tasks.

Confidentiality & Office Management

  • Maintain strict confidentiality when handling sensitive business information.
  • Maintain organized filing systems for sales documentation, contracts, and executive records.

Qualifications:

· Bachelor’s degree in Business Administration, Marketing, or a related field (preferred).

· Minimum 5 years of experience as a Personal Assistant or Executive Assistant supporting senior executives or C-level management in the UAE.

· Mandatory experience in the UAE real estate industry (developer, brokerage, or property management firm).

Skills & Competencies:

· Strong organizational and multitasking abilities.

· Excellent communication and interpersonal skills.

· High level of professionalism, discretion, and confidentiality.

· Strong time management and ability to work under pressure.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

· Experience preparing sales reports and executive presentations.

· Ability to coordinate across sales, marketing, and operations teams.
