Job Summary

We are looking for a highly skilled and proactive Personal Assistant to the CEO to support daily executive operations. The ideal candidate must be exceptionally organized, detail-oriented, and capable of handling multiple high-priority tasks simultaneously. This individual will be responsible for managing the CEO’s calendar, attending meetings, documenting minutes, tracking action items, handling expense reporting, and ensuring follow-ups are completed efficiently. Additionally, they must be available to travel with the CEO and act as the primary liaison with top-level management.

Key Responsibilities

  • Calendar Management: Organize and prioritize the CEO’s schedule, coordinate meetings, and ensure efficient time management.
  • Meeting Attendance & Documentation: Attend all meetings with the CEO, take detailed Minutes of Meeting (MoM), and track action items.
  • Task & Project Follow-Up: Assign tasks to relevant stakeholders, follow up on progress, and ensure timely completion of deliverables.
  • Stakeholder Communication: Act as the primary point of contact between the CEO and internal/external stakeholders, ensuring smooth communication.
  • Travel Coordination: Arrange travel logistics for the CEO, including flights, accommodations, and itineraries for international and domestic trips.
  • Expense Reporting: Track and manage CEO-related expenses, ensuring accurate reporting and financial accountability.
  • Confidentiality & Discretion: Handle sensitive company information with a high level of discretion and professionalism.
  • Technology & Task Management Tools: Utilize software such as Microsoft Office, , Asana, Trello, or similar platforms for scheduling, documentation, and task tracking.

Skills & Requirements

  • Bachelor's degree in Business Administration, Management, or a related field (preferred).
  • Minimum of 5 years of experience in a similar executive support role.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks efficiently.
  • Excellent verbal and written communication skills in English.
  • High level of attention to detail and ability to anticipate needs before they arise.
  • Proficiency in Microsoft Office, , and project management tools.
  • Ability to work under pressure and meet tight deadlines in a fast-paced environment.
  • Willingness to travel internationally with the CEO when required.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • Experience handling expense reporting and financial tracking.

Job Type: Full-time

Pay: AED6,000.00 - AED10,000.00 per month
